VEXPLOR
VEXPLOR WORK — BACK OFFICE

VEXPLOR WORK tracksback-office work, case by case.

VEXPLOR WORK is the seventh module of the VEXPLOR Suite. It lets a manufacturer's back-office departments handle their work case by case, through defined workflows, and traces office work and its results the way a factory traces a lot.

01PROBLEMTRACKED BY MEMORY, NOT BY RECORD

Back-office work is scattered
across email and Excel.

Work in purchasing, quality, production control and administration passes through many people and outside parties before it is done, and its progress lives in people's memory. The shop floor traces work by lot; the office still traces it by memory.

  • People ask, “What happened with that one?”Are all the quotes in? Who has not approved yet? The answer is found by switching between inbox and spreadsheet.
  • Nobody records where a value came fromTo trace which email or document a unit price or lead time in the comparison sheet came from, you have to search all over again.
  • Confidential documents keep AI outDrawings, prices and customer files cannot go to outside AI services, so document work stays in people's hands.
  • When people change, progress disappearsWhen the person in charge changes, the context of every open case has to be rebuilt from scratch.
02DESIGN PRINCIPLESFOUR RULES OF THE PRODUCT

VEXPLOR WORK traces office work
like a production lot.

It follows both directions: which instruction led to which result, and where each result came from. Four principles shape the product.

01

Case by case

Work is defined as a workflow such as “purchase request → receiving → payment”, and each case carries its own number as it moves through the steps.

02

Within work permissions

AI defined per task reads documents and fills in values within that task's permissions.

03

People approve

Fields that people must decide, such as supplier selection, pass/fail and payment approval, are left to people; the AI only gathers the evidence.

04

A ledger stays

A ledger that keeps the source location of every value stays as a company record. It is a company asset, not someone's personal screen.

One number brings up the documents, decisions and emails of a case. When you gather audit evidence for a customer, check before payment, or hand over to a new person in charge, you find it by record, not by memory.
03THREE PARTSONE LOGIN · ONE PERMISSION TABLE

The three parts of VEXPLOR WORK
share one login and permission table.

Staff, managers, executives and the IT team each use the part they need, while the login, permission table and access/change history are shared.

01

Workflows

Staff · Managers · Executives

The engine that reads workflow definitions and moves each case forward. Task AI, approval at decision points, the core ledger, the flow board and summaries belong here.

02

AI tasks

Staff (document work)

People hand work directly to AI on top of the company's document folders, using chat and a command window, multiple sessions and a document box. Folder permissions and company rules apply as they are.

03

Administration

IT team

An admin console for accounts, folder permissions, company rules, skills, external connections, AI settings and usage, access/change history and backups.

Back office (work)Information, coordination and decisions — production control, purchasing, materials, quality, managementVEXPLOR WORK

The back office is the other half of reaching the shop floor. When work orders and lot numbers are tied to the same number in back-office records and shop-floor results, one operating system can see the floor and the office together.

0416 WORKFLOWSGENERAL MANUFACTURER BASELINE

VEXPLOR WORK defines manufacturing
back-office work as 16 workflows.

These workflows are defined for a general manufacturer (10 specified, 6 in draft). In your diagnosis we adjust the steps, approvers and documents, and switch on the workflows you need first.

  1. F01Customer request → collection
  2. F02Customer spec change → production rollout
  3. F03New product development → mass-production handover
  4. F04Purchase request → payment
  5. F05Customer order → production close
  6. F06Equipment fault → recurrence prevention
  7. F07Defect / claim → countermeasure and cost
  8. F08Capital investment proposal → approval
  9. F09Improvement idea → case library
  10. F10Monthly close → financial report
  11. F11Audit / certification request → submission
  12. F12Contract / permit → renewal
  13. F13Employee inquiry → answer
  14. F14Safety check / incident → action
  15. F15IT outage / security → action
  16. F16Incoming and outgoing documents, general affairs
Adding a workflow also adds that workflow's ledger. Each workflow defines its steps, task AI, human approvals and document types; owners for the 120 task-AI definitions are assigned in your diagnosis. Adoption starts with one workflow such as purchasing (F04), then widens to contracts and permits, spec changes, employee inquiries, and defects and claims.
05IN-HOUSE CASEWACE'S OWN OPERATIONS

WACE handles 13 kinds of its own work
the same way.

Before recommending this approach, we use it first ourselves, in our in-house tool. We defined WACE's real work as workflows: AI drafts and checks, and a person confirms before anything goes out.

  1. S01PublishingBlog and social posts with images, posted to each channel
  2. S02ProposalsFrom a customer request to a proposal draft and fact check
  3. S03Email sendingAttachments and recipients checked just before sending, then logged
  4. S04Competitions and grantsNotice analysis, eligibility check, application writing
  5. S05Company-facts syncWhen a company figure changes, every document that cites it is updated
  6. S06Relationship emailA context card and draft for each contact
  7. S07MeetingsFrom recording to minutes and task registration
  8. S08Deck buildPresentations generated and checked against company design rules
  9. S09VideoStoryboard, captions, review and finishing
  10. S10Patent and trademark prepPrior-rights search and comparison table
  11. S11Investor materialsInvestor materials with figures matched to the reference data
  12. S12Daily LinkedIn roundSocial activity on a fixed daily schedule
  13. S13Legal reviewLive statute and case-law lookups with a review opinion

WACE's documents pass a machine check before they go out.

We turned company rules into checks instead of relying on people's attention. Output that fails a check does not go out.

  • Company figures are matched to the reference dataFigures such as headcount, revenue and patents are read from a single reference source; if a document shows a different value, it stops.
  • Banned expressions and blanks are caughtCompany-banned expressions, placeholders such as “to be written” and unsupported exaggeration are checked in every output.
  • Format rules are checked tooFonts, colors and footers in presentations, and the file types of email attachments, are checked against company rules file by file.
  • Everything is re-scanned every morningEvery day at 9:00, documents that drift from the reference data, sync conflicts and long-stalled decisions are checked automatically and reported.
At your company, your rules become the checks. In the diagnosis we take your document rules, banned expressions and reference data and turn them into the same checks.

At WACE, work records build up in the company, not in people.

130Record pages per subject — customers, partners, investment, grants and more. When values differ, both are kept and flagged instead of being overwritten.
780+Records of what got stuck and how it was solved — carried into the next task.
DailyWork logs by person and by date — to trace what changed, when and why.

Based on WACE's own operating records (October 2026). This is a case run on our in-house tool, not a customer deployment.

06HOW TO ADOPTWITH WORK AX CONSULTING

WACE introduces VEXPLOR WORK
together with Work AX consulting.

We organize scattered office data and permissions, define your work as workflows, and then load those workflows into the product. The duration is set in the diagnosis, depending on scope.

01

Diagnosis

Review each department's work, documents, solutions in use and permissions, and choose the workflows to switch on first.

02

Data centralization · permission design

Bring scattered work data together, and design the workflow definitions (steps, approvers, documents, task AI) and department × grade × folder permissions.

03

Work automation build

Automate the highest-priority work first, and load the defined workflows into VEXPLOR WORK.

04

Final report

Report the execution roadmap and performance baseline, and hand operations over to your IT team.

Start with one department, then expand

① DiagnosisStorage, permissions, document grades, systems to connect, first workflows
② InstallationServer setup, accounts and permissions, grades, rules, backups — run by your IT team through the admin console
③ Settling inOne department → one workflow → expand
④ OperationUpdates, new workflows, audit support

You choose the AI model

WACE does not build models. Workflows use one of the three connection options below, and the screens and ledger work even without a model.

  • Your own modelConnect a model or in-house AI service you already run.
  • Global model APIUse a key from a contract you hold in your own name with an AI model provider. You pay the provider directly.
  • Local modelWork whose data must not leave is handled by an open model on your server. WACE specifies the server, and you purchase it.
Usage rights — You use the version you have accepted with no time limit, and during the maintenance contract you receive new versions, added features, support and resources WACE provides (such as AI model calls). Even after the contract ends, you can export your data at any time.
